Tool Checkout

🧰 Tool Checkout Policy

This policy ensures that tools are available, traceable, and well-maintained for all members.
Please read and follow these guidelines when borrowing tools from the hackerspace.


📋 Purpose

To track tool usage, prevent loss or damage, and ensure accountability while keeping tools accessible to all members.


🛠️ Tools Covered by This Policy

  • Tools that must be checked out (power tools, specialty tools, expensive equipment)
  • Tools that do not require checkout (hand tools, consumables)
  • Any exceptions or special categories

🧾 Checkout Process

1. Verify Eligibility

  • Must be an active member in good standing
  • Must have completed required training (if applicable)
  • Must agree to this policy

2. Log Your Checkout

Record the following in the Tool Checkout Log (paper or digital):

  • Your name / handle
  • Tool name
  • Date & time checked out
  • Intended use (optional)
  • Expected return time/date

3. Inspect the Tool

Before taking the tool:

  • Check for damage
  • Ensure all accessories are present
  • Report issues before using

🔄 Return Process

1. Clean and Reset

  • Remove dust, debris, and residues
  • Return all accessories, bits, heads, batteries, chargers, etc.
  • Repack in its designated location

2. Log Your Return

Record:

  • Date & time returned
  • Any issues noted during use

3. Report Problems

Immediately report:

  • Damage
  • Missing parts
  • Performance issues
  • Safety concerns

This helps maintainers address problems quickly.


⏱️ Loan Duration

  • Default maximum checkout time: X hours / X days
  • Extensions allowed only with approval
  • Long-term checkout (for ongoing projects) requires maintainer sign-off

⚠️ Responsibilities of Borrowers

  • Use tools safely and appropriately
  • Do not lend borrowed tools to non-members
  • Do not remove tools from the space unless explicitly permitted
  • Report issues immediately
  • Replace consumables you use heavily (e.g., blades, bits, sandpaper)

🧑‍🔧 Maintainers

Maintainers are responsible for:

  • Approving long-term or off-site checkouts
  • Performing repairs and maintenance
  • Managing the tool inventory
  • Training members when required

Current Maintainers:

  • Name / handle
  • Name / handle

🛑 Loss or Damage

If a tool is lost, stolen, or damaged:

  • Notify a maintainer as soon as possible
  • The space may ask the borrower to contribute to repair or replacement, depending on circumstances

✔️ Policy Updates

This policy may be revised as the hackerspace grows or tools change.
